After setting up Outlook on my PC email is showing up and then disappearing from my phone

SOME OF THE SYMPTOMS:

  • I just installed Outlook and configured it for 4SmartPhone. It receives email just fine. But all my emails disappear off my Smart Phone.
  • Calendar items and contacts that I put in on my phone, don't show up in Outlook.
  • Outlook Web Access (OWA) looks the same as my phone. Contacts are there, Calendar items are there. But is missing all my emails just like my phone.

 

THE PROBABLE CAUSE:

Outlook has not been configured correctly for Microsoft Exchange. Instead it has been configured for POP mail. This will cause Outlook to download all email from your 4SmartPhone email box to your local computer and delete it off the server. Since the mail is getting deleted from the server, your phone will sync and remove the messages as well.

 

SOLUTION:

Configure Outlook correctly by downloading and running the Outlook Profile Helper from the 4SmartPhone website.

Make sure that your Outlook if closed by clicking File | Exit in Outlook. Then follow the steps below to resolve this issue and configure your Outlook properly.

  1. Log into your Mailbox Manager.
    1. Open your web browers. (Internet Explorer, Firefox, Chrome, etc.)
    2. Go to Mailbox Manager (https://controlpanel.4smartphone.net/mail)
    3. In the blue login box, select the top radial button for MyMailboxManager.
    4. Enter your Email Address for your mailbox and your password.
  2. Download and run the Outlook Profile Helper from the Mailbox Manager. 
    1. The link will be found on the Welcome page, near the center, just under the Outlook 2007 download link.
    2. Click the link to download and run the Outlook Profile Helper.
    3. The wizard will prompt you to enter your email address and password, and then inform you that Outlook has been successfully configured.
    4. Click the Open Outlook button to close the Wizard and open Outlook.

NOTE: To recover the emails that you downloaded to your PC while Outlook was mis-configured, you will need to open or import your local email file (.pst) in Outlook. It is stored on your computer in a hidden folder, but Outlook, by default, should look in that folder when you try to open the file.

To OPEN the local PST file in Outlook:

  1. Go to File -> Open -> Outlook Data File. This should open to the default location for Outlook PST files. The default filename is usually "outlook.pst". This is probably where all of your email downloaded while it was removing them from the server. Select Outlook.pst and click OK.  
  2. In Outlook, a new folder tree will appear on the left. Expand it and find the Inbox folder there. To move mail from that Inbox back to the Inbox on your 4SmartPhone mailbox, just highlight the messages you want to move back, and drag them to the Inbox in the upper tree.  They will sync back to the server and from their to your phone.
